Purpose of Implementation
To address issues such as aging traditional telephone equipment and the difficulty of maintaining telecom lines, the University will implement a new generation of Unified Communications (UC) services. This system will provide a Network Mobile Extension communication model that can be used across multiple devices, including desk phones, desktop computers, smartphones, and tablets.
The mobile extension system supports a wide range of operating environments, including iOS (iPhone, iPad), Android, Windows, and macOS. Whether working from home or traveling, users can stay connected to the university network, greatly enhancing communication flexibility and creating a smarter, more connected educational environment.
Mobile App Requirements (Mobile Extension App)
- Operating System:
- iOS 14 or later (iPhone 8 or newer)

- Must be downloaded from the Apple App Store or Google Play (refer to the user manual for details)

- Calls to mobile phones or international numbers require submitting a request via the IT service platform, along with a completed "Desk Phone to Mobile Call Application Form"
- Full-time faculty/staff must apply through their department representative
- Postdoctoral researchers must have their PI apply on their behalf
- The Information Services Department will submit last month’s budget codes and billing details by the second week for Finance to process deductions.

A number is assigned for the faculty role (login enabled), and an additional number for the administrative role (login not provided). The administrative number can be forwarded to the primary extension or handled by a secretary.
Q2: How is the mobile extension number assigned for full-time staff with administrative roles?
If the staff member holds an administrative role at a different level, an additional number is issued for the administrative role; a separate application is needed for a staff extension.
If the staff member holds an administrative role at the same level within the same unit, only one mobile extension number is issued.
Q3: Will using the mobile extension app generate data charges?
- No charges if connected via Wi-Fi.
- If using 4G/5G, data usage will apply according to the user’s mobile data plan.
Q4: How are calling charges calculated for mobile extension users?
- Free for on-campus extensions, affiliated hospitals, government short codes, and landlines.

- Yes, it is still functional. However, OIT will no longer issue new desk phones. If the physical phone malfunctions or the telecom line degrades, repairs will not be provided and the device must be replaced by a mobile extension.
Q9: What should I do if I no longer wish to use the Business mobile phone or the 4-digit desk phone at the Xinyi Campus?
- Business mobile phone: Please return them directly to the Office of Information Technology.
- 4-digit desk phones: Please submit a service request on the Information Service Platform to deactivate the extension. The physical phone can be handled by the department.
Q10: How can I identify which campus a mobile extension belongs to?
- Mobile extensions starting with 1(e.g., 12345) belong to the Shuang-Ho Campus.

Q11: How can external callers reach a mobile extension?

Q12: How do I set up call forwarding from the four-digit desk phone at the Xinyi Campus to a mobile extension number?
- To set up call forwarding, follow these steps:
Step 1: Pick up the handset and dial #1#2 followed by the mobile extension number.
Step 2: Hang up the handset to complete the setup.

To cancel call forwarding: Pick up the handset, dial *1, then hang up.
Q13:What should I do if the desktop application shows that "the other party cannot hear your voice"
- Solution:
Press Win + X on your keyboard and select Device Manager.
Expand the Sound, video and game controllers section.
Look for devices with names starting with CABLE (usually there are 2–3 of them).
For each CABLE device, right-click and select Disable device.
After disabling them, your microphone should start working normally.
Q14: If both a computer and a mobile phone are logged into the same mobile extension number, will they ring at the same time?
- Yes, both devices will ring simultaneously. You can choose either one to answer the call.
Q15: If no off-duty schedule is set and the user simply logs out, will it make a difference?
- Yes. If you log out without setting an off-duty schedule, callers will not hear any voice message; the call will be disconnected immediately, which might cause confusion and lead them to think the number is invalid.
- If you have a time-based call schedule, it is recommended to add an off-duty voice message.
Q16: The QR code attached in the email cannot be scanned?
- You need to click on the image in the email to view the complete QR code. Then, use the QR code scanner inside the Mobile Extension App login interface to scan it.
Q17: When making external calls using the mobile extension, if the recipient calls back, will the call go to the mobile extension or Switchboard?
- When making outbound calls, the recipient will see the school’s main number. If they call back, the call will go to switchboard’s voice menu, and they can then dial the extension number directly.
Q18: If there are morning and evening shifts, do users need to manually update their work schedules every time?
- No. You can set up two separate time slots for the morning and evening shifts. The schedule can be customized weekly, with specific days (Monday to Sunday) and times for each.
Q19: Can a mobile extension pick up calls for another user?
- It can only pick up calls from other 5-digit mobile extensions. You can apply for this function through the Information Services Platform, and you will need to provide the extension numbers to be linked.
Example: 20000, 20001, and 20002 — these three extensions can pick up each other's calls.
Q20:Will the representative number for the Shuang-Ho campus be deactivated?
- No, it will not be deactivated. You can still dial mobile extensions using the Shuang-Ho campus representative number (02-6620-2589). The same mobile extensions are used across both campuses.
