To check your cloud storage usage with your TMU GWS account:

  • Log in to Google Drive with your TMU GWS account.

  • Click on Storage on the bottom left to view your used and total capacity.

  • Alternatively, you can go to the Google Storage overview page to see your usage for Gmail, Drive, and Photos.


 

Tips to clear up space

 

To avoid having your account suspended due to exceeding the storage limit, we recommend the following:

  • Delete large files: Go to Google Drive and sort by Storage to prioritize removing unnecessary videos, compressed files, or installers.

  • Empty the trash: Deleted files go to the trash first and will only free up space once the trash is emptied.

  • Download backups to your personal device: You can download old files to your computer or an external hard drive.

  • Migrate to another cloud service: Transfer files to other services such as your personal Google account, Dropbox, or OneDrive.

  • Clean up Gmail: Delete emails with large attachments (you can find them by typing has:attachment larger:10M in the search bar).

  • Organize your photos: If you use Google Photos, consider removing unnecessary photos or videos.


 

Account usage eligibility

 

  • Current faculty, staff, and students: As long as your account does not exceed the storage limit, the Information Technology Office will not delete or reset it.

  • Faculty and staff who have been released from their employment relationship:

    • Resignation: The account will be suspended three months after HR submits the resignation list and will be deleted after that period.

    • Retirement: After HR submits the retirement list, the account status will be changed to "Retired Personnel," and the storage limit will be adjusted to 1GB. It is recommended that you hand over your data and reduce the storage usage below the designated limit before leaving the university.

  • Students who have left the university:

    • Graduation: If you meet the graduation requirements and have successfully obtained your diploma, you will be considered an "Alumnus." After receiving the relevant list, your storage limit will be adjusted to 1GB, and the account will not be deleted.

    • Academic dismissal, transfer, or failure to enroll: The account will be deleted after receiving the relevant list.
